An Owner or Admin invites colleagues via Settings > Manage Users. With each invitation you choose a role, which determines what someone can do in the portal.
Which roles are there?
- Owner: the same rights as Admin. This is the contact person named in the contract, who received the first invitation. The role cannot be assigned, changed or revoked.
- Admin: full access: create and cancel shipments, print labels, manage users and roles, manage integrations and organisations, view invoices.
- Shipment Manager: view, create and cancel shipments, print labels.
- Shipment Handler: view shipments and print labels, but not create or cancel shipments.
- Financial: view and download invoices, view shipments.
Give the Admin role to as few people as possible; we recommend no more than two per organisation. Anyone with access to the main organisation automatically sees all organisations below it. If you invite someone to a sub-organisation, they only see that sub-organisation's information. Invoices (the Invoice menu) are only visible to Admin and Financial users in the main organisation.
Inviting a colleague
- Click Settings in the top bar and choose Manage Users.
- Click Invite users.
- Under Email addresses, enter one or more email addresses, separated by commas.
- Switch on at least one role.
- Click Send invites.
Your colleague appears in the list as Pending until they log in for the first time (see How do I get access to the Shipping Portal?). Have more than one organisation? Then you invite people per organisation.
Changing a role or revoking access
- Go to Settings > Manage Users.
- Click Manage user next to your colleague. This is only possible once they have accepted the invitation.
- Under Assigned Roles, switch a role on or off. The change is saved immediately.
- Click Revoke User if your colleague should no longer have access.
